Timesheets
A timesheet template and some useful information
Changes from last semester:
- Only create one timesheet each month - all your sessions should be on a single timesheet, even if they are for different modules.
- It is your responsibility to get the signatures from the lecturers on the timesheets.
- When you have all the signatures, email the completed timesheets to Academic Operations well before the deadline if possible (to give them time to process it).
This is an interim process while the Head of Academic Operations looks at how timesheets should be handled in the longer term.

When completing your timesheets:
- Keep a single timesheet for all modules.
- Add the supervisor’s name (the lecturer) for each session.
- Insert the start and finish time in 24 hour clock format, including the minutes e.g. start time 14:00 finish time 17:30.
- Only claim for work that has actually been completed.
- It is up to you to get the signatures for each module before sending it to Academic Operations.
- Submit your hours every month as soon as possible even if you have only worked a few hours that month.
- Always send the timesheets as actual attachments, not links to OneDrive documents - these often require permission to open, and that slows things down.
We recommend emailing the timesheet to one lecturer for one module, and then when they reply, emailing it to the next lecturer for your next module, and so on. Allow plenty of time.
This isn’t an ideal process, but the previous trial of one timesheet per module proved to be unworkable.
Remember that:
- You may work up to 15 hours per week across all AberWorks roles.
- Students working on a Student Visa will only be able to work hours that remain compliant with their Visa.
- Any timesheets received after the deadline will not be processed until the following month.
- Payment will be processed so that you will be paid on the last working day of the month following the month you are submitting for.
- You should avoid accumulating hours as this will have implications on the amount of tax and National Insurance that you pay.
