Preparing pdf documents

Why pdf?

When you write a report, careful page layout is important to ensure the reader has all the information at their fingertips when reading your text. Figures and tables need to be near the point in the text where they are first referenced. Text that belongs together shouldn't be broken up unnecessarily by figures and page breaks. Taking care of this is your responsibility as a writer of scientific texts, and the quality of presentation is an assessed component of most coursework.

Documents saved in the native file formats of text processing software is usually rendered differently on different computers depending on computer settings and the software installed. The Portable Document Format (pdf) has been devised to preserve page layout and general presentation of documents. This is why we only accept files in pdf format, not in source formats such as Microsoft Word, Open Document or LaTeX.

How to prepare pdf documents

If you're using Microsoft Word, click the office button (top left), select Print, choose CutePDF Writer in the name dropdown and hit the Print button. This assumes that you have CutePDF installed, but if you don't, the computers in the labs have.

If you're using Open Office, use File -> Export as PDF... to save your document as a pdf file.

If you're using LaTeX, compile your source using pdflatex. Include the graphicx package and use the \includegraphics{} command to place png and jpeg files. If you include postscript (ps or eps) figures, make sure they render properly.

In any case, double check that your pdf file looks as you expected when loading it into a pdf viewer program (Adobe Acrobat, kpdf, xournal,...) and make changes to your source if it doesn't. Your submission must look and feel professional, and it's no use to blame the computer if it doesn't. Avoid fancy fonts, which may get substituted by a poorly legible default or, worse, special characters. Also check that graphics are rendered properly.
